WHO WE ARE
This policy explains how Technophobia Communications Ltd, trading through Delfinware-Direct and operating the TOP Business Operating System ("we", "us" or "our"), collects and uses personal information.
Contact: Technophobia Communications Ltd, Delfinware-Direct, Pennypot Industrial Estate, Hythe, Kent CT21 6PE. Email: sales@delfinware.co.uk. Telephone: 01303 266061.
WHAT THIS POLICY COVERS
This policy covers the Delfinware-Direct website and shop; customer enquiries, orders, delivery, returns and support; marketing preferences; the TOP Business Operating System; and our authorised eBay integration, including information obtained through eBay APIs.
INFORMATION WE COLLECT
We may process identity and contact details; account identifiers and secure OAuth tokens; order, payment-status, delivery, return and dispute information; customer-service enquiries and relevant eBay messages; authorised eBay listing, inventory, fulfilment, performance and financial information; technical, cookie, security and audit information; and marketing preferences. We do not ask for or store your eBay password or full payment-card details.
We receive information directly from you, from eBay after an account holder authorises our application, and from providers involved in payments, delivery, website operation and fraud prevention.
HOW AND WHY WE USE INFORMATION
We process information to fulfil contracts, including purchases, delivery, returns, refunds and support; for legitimate interests in operating and securing our systems, administering authorised eBay accounts, monitoring orders and exceptions, preventing fraud and improving services; to meet legal obligations involving tax, accounting, consumer protection and lawful disclosure; and with consent for optional marketing and non-essential cookies where required.
TOP helps authorised businesses view and administer their own eBay operations. We use eBay information only for the authorised operational purpose, within the permissions granted and consistently with eBay's applicable agreements and privacy requirements. We do not sell eBay personal information, use it for unrelated advertising or send unsolicited communications to eBay users.
EBAY AUTHORISATION AND DELETION
Connecting an eBay account uses eBay's secure OAuth process. Your eBay credentials are entered on eBay's website and are not disclosed to us. eBay supplies secure tokens allowing TOP to access only the scopes approved on its consent screen. The account holder may withdraw TOP's access through eBay or ask us to disconnect the account.
We receive and act on eBay marketplace account deletion or closure notifications. We delete or irreversibly anonymise affected eBay personal information when it is no longer necessary, unless a specific law requires limited information to be retained. Legally retained information is isolated from ordinary operational use.
SHARING AND INTERNATIONAL TRANSFERS
We may share information as necessary with eBay; Wix and other website, hosting, cloud and IT providers; payment processors, banks, carriers and fulfilment providers; professional advisers, auditors and insurers; operational teams explicitly authorised by the relevant TOP account owner; and authorities where disclosure is legally required. We do not sell personal information.
Some providers may process information outside the United Kingdom. Where UK law requires safeguards, we use an applicable adequacy regulation or approved contractual safeguards.
RETENTION
We keep information only as long as needed for its purpose and applicable legal, accounting, warranty, fraud-prevention and dispute requirements. Order and accounting records are generally retained for up to six years where necessary. Marketing information is kept until you unsubscribe or object, after which a minimal suppression record may be retained.
eBay personal information is deleted at the earliest of when it is no longer necessary; when deletion is requested by eBay or the person concerned; when our policy requires deletion; or when our eBay Developers Program participation ends. Protected backup copies are removed through the normal limited backup cycle and are not returned to operational use.
SECURITY
We use appropriate safeguards including encrypted connections, protected storage, access controls, secure handling of API credentials and tokens, audit records, backups and access limited to authorised personnel.
COOKIES
The website uses essential cookies for security, account access and shopping-basket functions. It may also use analytics, preference or marketing cookies. Where required, non-essential cookies are used only with consent. Browser and site controls can manage preferences.
YOUR RIGHTS
Depending on the circumstances, you may have rights to access, correct or erase your information; restrict or object to its use; receive information you supplied in a portable format; and withdraw consent. These rights are not absolute and legal exemptions may apply.
You have the right to object at any time to direct marketing. You may also object to processing based on our legitimate interests.
To exercise a right, email sales@delfinware.co.uk or write to the address above. We normally respond within one month.
COMPLAINTS
Please contact us first so we can try to resolve your concern. You may also complain to the Information Commissioner's Office at https://ico.org.uk/make-a-complaint/ or telephone 0303 123 1113.

Our shop and TOP eBay integration are not directed at children. Our services may link to third-party services, including eBay, which have their own privacy notices.
CHANGES
We may update this policy when our services, obligations or data practices change. The latest version will be published on this page.
